IRS transcripts: which one answers which question
The IRS offers five kinds of transcript, free. Each answers a different question, and most tax problems need two of them: the account transcript for what is owed and the wage and income transcript for what the IRS knows you earned.

Transcripts are available immediately in your IRS Online Account. By mail, through Get Transcript by Mail or the automated phone line, the IRS says to allow 5 to 10 calendar days. Form 4506-T reaches every transcript type, including older years, and takes longer.
The five transcripts
The IRS offers these at no charge. A transcript is not a photocopy of your return; for that the IRS points to Form 4506, which carries a fee.

The IRS says availability may be limited when certain conditions apply, and that how you filed and whether you had a balance affects when the current year appears.
Which one answers your question
Most people ask for the wrong one first, usually the return transcript, because it sounds like the right thing. For a notice or a balance, it rarely is.
What do I owe, and is the IRS figure right? The account transcript. It shows what was assessed and when, every payment and credit, penalties and interest, and any change made after filing. It is also where a payment that landed in the wrong year shows up.
What does the IRS think I earned? The wage and income transcript. It lists the information returns filed about you, which is what an income mismatch letter or a substitute return is built from. The IRS says it shows only documents filed with the IRS, which may not be every document issued to you.

How to get them
The fastest route is the IRS Individual Online Account, which the IRS describes as the quickest way to view, print or download every transcript type. The same account shows balances by year and payment history.
If you cannot register, the IRS will mail a return or account transcript to the address it has on file, through Get Transcript by Mail or by calling its automated transcript line at 800-908-9946, in 5 to 10 calendar days. Form 4506-T reaches every type, including older account transcripts. For wage and income information on a past-due return, the IRS points to Form 4506-T with the box on line 8.
Business transcripts are obtained separately. And where someone else is helping you, Form 8821 authorizes them to receive your transcripts for the tax types and periods you list, without authorizing them to act for you.
What a transcript will not tell you
Transcripts are coded records, and reading them takes some care. The account transcript lists transactions with codes and dates; the meaning of each code, and how the dates interact, is where most misreadings happen. Treat anything that looks surprising as a question to check rather than a conclusion.
The wage and income transcript is limited to about 85 documents. The IRS says that above that, the online transcript will not generate and you will be directed to Form 4506-T. It covers federal information returns; Massachusetts records come from the Department of Revenue, through MassTaxConnect.
Transcripts also partially mask personal identifiers, though the IRS says financial data remains fully visible. A transcript tells you what the IRS holds. It does not tell you what should be there, which is the comparison that finds most errors.

IRS transcript review
Before a payment plan, an offer or a hardship request, there is one question: is the number right? A transcript review answers it for every year at once, and often changes what the right resolution is.
Collection statute (CSED)
The IRS has ten years from assessment to collect, after which the balance becomes unenforceable. The period is regularly suspended, and almost every real account has a date later than ten years from the return.
Notice CP2501
Income reported by employers, banks or others doesn't match your return. The IRS says it is not a bill but you must respond. Answered with the right documents, the review can end with it; left alone, it continues without your side of the story.
Authorizing someone to act
Two different authorizations that are constantly confused. One lets someone act on your behalf; the other only lets them see your file. Not everyone who can prepare your return can hold the first one.

- Can someone else get my transcripts?
- Yes, with your authorization. Form 8821 lets you designate a person or firm to inspect or receive your confidential tax information for the tax types and periods you list. It does not let them act for you before the IRS.
- Is a transcript the same as a copy of my return?
- No. The IRS says a transcript is not a photocopy. For an actual copy, it points to Form 4506, which carries a fee the IRS publishes. For most purposes, including tax problems, a transcript is what you need.
